Email Settlements to Drivers

New Feature description:

Users now have the option to send settlements to a driver’s email address during the settlement process.

Setup: Configure the desired settlement print option and enter the driver’s email address using Datatrac Web, Driver / Agent Maintenance.  For quick access to Driver / Agent Maintenance, type “driver” in the search box, select, Driver / Agent Maintenance.  Search for and select the desired driver record.  The new selections are found in “Edit Settlement Options” under “Settlement Setup.

 

Settlement print options:

Print only: This is the default value. Settlements will print during the settlement print process if Output=Print is selected.  Settlements will NOT be sent to the email addresses on the driver records.   If all driver records are configured “Print Only,” select Output=Print when running the Settlement Print routine (SETLPRINT).   

Email only:  The individual driver settlements will be sent to the email address on the driver records during the Settlement Print routine (SETLPRINT) when Output=Email.

Print & Email:  The settlements will be printed during the settlement print process when Output=Print is selected.  Settlements will be emailed to drivers during the Settlement post (SETLPOST) routine.  During the settlement print process, if Output= Email is selected, settlements will NOT be emailed to drivers configured with this Print & Email option.  

*Note:  If during the Settlement print process the user selects the output type of print, then selects an EMAIL printer, all settlements will be sent to the email address(es) entered into the email form, not the email addresses on the driver records

Settlement Print – SETLPRINT

Datatrac customers may configure driver records with a combination of the three settlement print options.  If this is the case, it’s required to run the settlement print process twice.  

On the first pass choose the Output=Print to print settlements for drivers configured with the “Print only” and Print and Email settlement print options.   

On the second pass choose Output=Email to send settlements to the drivers configured with the “Email only” settlement print option. 

For those familiar with the current invoicing print and email process, the settlement email feature mimics those concepts.
